Registration and Signup

Supplies Needed
Pens, score cards, tape, alphabetical tray for score cards, alpha file for entry blanks, change for entry fees, route charts.

Registration begins with preparation and mailing of entry forms to participants. This should be done about 45 days prior to Enduro.

Entry forms should be mailed in duplicate. They should be pre-folded by printer so that two forms can be mailed together. Labels and stamps have to be put on forms. This usually will take a person one full day.

Entry forms should also be submitted to the TSCEC webmaster for posting on the website. (RMEC & BJEC if dual runs). TSCEC will mail your entries to our mailing list for a nominal fee, as will RMEC. Contact respective circuits for details.

Distribute entry forms in padded form to all local cycle shops. Dealers are more likely to display a pad of forms because they stay together better.

Registration is divided into two major parts — Early Entry and Late Entry.

Early Entry
Provision should be made to pre-register early entries in order to facilitate activities on date of Enduro. The early entries usually come in through the mail to our local mailbox. When received, separate the enclosed checks make note of any special requests, staple all entries together that wish to ride with another person along with any return mail envelope.

Some clubs still assign numbers by some sort of a drawing; some just assign numbers as rider’s request them, subject to availability. Always remember that AA riders have assigned numbers between row 20 and 30, so you must leave their entire row available until the pre-entry cut off date. You must also leave the A position available until sign in closes on Saturday evening. The pre-registration allows them the choice of selecting their position or as close to a particular place as possible.

If you are using the grid system, separate all of the entry forms according to their grid choices that are noted on their registration, You should have a stack of entries to go with a stack of prepared score cards. At this point, begin assigning riders their numbers. Example: Joe Smith wants to ride on row one with three other people, You would give him 1A, complete the score card by writing his name, class, and TSCEC number. on the score card. Next, be sure to record the rider number on his entry form. File the score card alphabetically in the rider file and the entry blank in the other file. (The alphabetical filing can be done after all numbers have been assigned. This is best because you may have to refer back to a row or number in the course of assigning rider numbers.

The riders that request their assigned numbers will enclose a return envelope for use in notifying them of their numbers. Write their number down on some sort of card and return it to them.

Late Registration
Many riders wait until they get to the race site to register. We have to use a similar method of signing them up. Each entrant should be given a blank form to complete and sign (Be sure it has been fully filled out and signed). He is then assigned a number that has not been previously used. Technically, he does not have a choice of which row he may ride on. However, for sake of public relations, we try to accommodate them as much as possible. Most early numbers will be used in the pre-registration. If there are any unused rows of numbers in the earlier grids, try to fill them in so that there will be no gaps in the rows. This makes it easier for the starter and the checkpoints. Collect the appropriate fees from entrant, give him his score card, scroll chart, rider info sheet, or any other materials that have been assembled.

Other Info
As the pre-entry riders arrive to collect their materials, you simply ask them their name. The score card has already been prepared, money collected, so they can be handled quickly and easily.

Sign-in should begin on Saturday before the race by two o’clock. The sign-in should remain open until approximately 8:00 pm. It should be opened the next morning about 6:30 AM and run until the race begins. Usually all entrants have signed up by 8:30.

The busiest time for registration will be from about 3:00 PM to 8:00 PM on Saturday and again in the morning until about 7:30 AM.

The sign-in chief needs about four assistants during the busy times and about two helpers otherwise.

The registration head should be responsible for having tables, chairs, generator, and heater, in addition to other sign in materials used.

Try to arrange sign-in so that entrants can be waited on promptly without a lot of confusion.

Remember: THERE WILL BE NO RACE UNTIL WE HAVE SIGNED IN THE RIDERS AND COLLECTED THEIR ENTRY FEES…..
